STARTING POINT
As Powertech were rolling out Microsoft 365 Copilot to a pilot group of 55 employees, they were already asking bigger questions. How could wider adoption help them become even more effective? How could Copilot connect to a broader AI transformation? And what foundation would need to be in place for long-term success?
What stood out most was Powertech’s mindset. Leadership was not interested in adopting AI for the sake of it; they wanted to do it in a way that was useful, responsible, and genuinely valuable for their people.
HOW IT CAME TOGETHER
Powertech understood from the start that for AI to be meaningful, it had to fit the way the business works. Over five months, the team at Powertech including leadership, IT, and Copilot champions came together to shape an approach that balanced strategic planning with real-world application.
This included envisioning and roadmap sessions to identify and prioritize AI opportunities. At the same time, practical Copilot training customized for various departments and functions helped employees apply what they were learning right away. What made the project especially effective was that it was shaped around Powertech’s teams, priorities, and day-to-day realities.
WHAT CHANGED
By the end of the engagement, Powertech had turned early momentum into a stronger, more intentional foundation for long-term AI transformation. They now had a prioritized set of AI use cases, a phased roadmap, and greater clarity around governance and security readiness. In addition, employees were better equipped to use Copilot in ways that supported higher-value work.
What was really encouraging to witness throughout our 5-month journey together was how people at Powertech came together as a team to brainstorm use cases, share what worked and what didn’t, and feed off of each other’s excitement, progress, and momentum.
The result was not just stronger adoption of Copilot, but a clearer sense of where AI could continue to reduce friction going forward, support better decision-making, and create lasting value. The sense of achievement and excitement to carry the momentum forward was very palpable.
WHY IT LANDED
There were multiple ingredients in the success of Powertech’s adoption journey. Leadership’s vision was clearly communicated. The people and process centered adoption journey, not only tool focused. Customized training for their people and their day-to-day workflows. The strong partnerships between internal stakeholders and champions, and with ProServeIT, their partner. That balance of vision, ambition, care, and practicality is primarily what made their approach so impactful.
“For us, it was never just about introducing a new tool. It was about improving decision-making, reducing rework, and helping the organization turn insight into action more quickly. Even identifying about 45 minutes a week per person showed there was real value behind it.”

FAQs
Microsoft 365 Copilot adoption is the process of deploying AI tools across an organization in a way that drives real, lasting usage -- not just license activation. Effective adoption combines role-specific training, change management, and a structured roadmap so employees can apply AI to the work that matters most to them.
A meaningful Copilot rollout typically takes three to six months, depending on the size of the organization and the depth of the engagement. Powertech's journey with ProServeIT ran five months and included AI envisioning sessions, role-specific training, and a phased roadmap for ongoing AI transformation.
For most organizations, the human side of AI adoption is harder than the technical side. Change management for Copilot involves communicating leadership vision clearly, identifying internal champions, customizing training to specific roles and workflows, and creating space for employees to share what's working and what isn't. As Powertech's CEO put it: "We looked at it as 80% change management and 20% technical."
Preparation involves four things: assessing your current Microsoft 365 environment and security posture, identifying the highest-value AI use cases for your specific teams, building a governance framework, and creating a change management plan that brings people along rather than just rolling out a tool. ProServeIT's AI envisioning and roadmap process is designed to work through all four before any training begins.
Microsoft 365 Copilot is available as an add-on to eligible Microsoft 365 plans. Pricing is set by Microsoft and may vary based on your existing licensing, number of seats, and region. A Microsoft partner like ProServeIT can help you assess your current licensing, identify what's included, and build a deployment plan that fits your budget before you commit.
Everyday AI Studio gives teams a practical, supportive space to build confidence with AI through shared learning and real-world use cases they can apply in day-to-day work.
