Boys & Girls Clubs of South Coast BC offers a place to belong for thousands of kids across 12 neighbourhood Clubs in the lower mainland and Fraser Valley region of metropolitan Vancouver. They provide support and services to some of the most vulnerable youth in the community and their families. In order to serve those thousands of children, fundraising is a critical part of their work, with two significant events per year that provide them with those critical funds.

Business Challenge

One of these events (a live event with a comedy focus) was to take place on March 13th. With the onset of the COVID-19 pandemic, the team at Boys & Girls Clubs of South Coast BC was carefully monitoring the situation. It had come to the point where, had they cancelled the event, they would have lost money, however, it quickly became apparent that many of their guests did not feel comfortable attending the live event, as previously planned.  The morning of the event, Boys & Girls Clubs of South Coast BC decided to move the event to a virtual platform. They turned to ProServeIT to see what their options were.

Solution

Boys & Girls Clubs of South Coast BC had already been a recipient of software and licensing via Microsoft Tech for Social Impact, which included licensing for Microsoft Teams. In less than 24 hours, ProServeIT helped set up Teams as their virtual event platform.

• The event could be broadcasted in a closed environment to preserve the value of the sponsors and ticket purchasers

• Teams helped them to host their raffles and auction bids via the chat function.

Feedback provided to Boys & Girls Clubs of South Coast BC showed that the virtual participants not only enjoyed the event, but felt almost as if they were in the room.
